COMMUNICATIONS COORDINATOR POSITION DESCRIPTION Job Title: Communications Coordinator Reports To:Church Administrator Purpose: Prepare and edit major Church publications such as the monthly eBlast, eNewsletter, bulletin, and website. Serve as backup to Receptionist and/or Administrative Coordinator in terms of welcoming visitors, answering phones, routing calls, etc. Assist with maintenance of member database and be the primary manager of Facility Scheduler. POSITION SPECIFICATIONS KNOWLEDGE AND EXPERIENCE: Bachelor’s Degree or Associate’s Degree, preferably in Communications Effective communication skills, both oral and written Attention to detail Self-starter High level of creativity, especially in the area of graphic design Tech-savvy Able to identify and satisfy communication needs of various demographics within church body Able to design and maintain a comprehensive online presence for IOHUMC, integrating Facility Scheduler and Access ACS Strong technical skills in web design and ongoing maintenance Comfortable with multi-line phone system Proficient with standard office equipment (ie: copy machine, facsimile, postage machine, folding machine, binding machine, duplicator, laminator, etc.) Proficient in Microsoft Windows and various applications including Microsoft Outlook, Word, Excel, PowerPoint, and Publisher, and Print Shop, WordPress (website), Constant Contact email marketing (eNewsletter) Proficient in Church-specific software: ACS, Access ACS, and Facility Scheduler DUTIES AND RESPONSIBILITIES: Design, produce, and distribute monthly newsletter—both hard copies and eNewsletter via Constant Contact Generate newsletter labels monthly, preparing labels consistent with current bulk mail regulations, and mail newsletters bulk mail in accordance with Post Office regulations Obtain weekly articles and attendance figures as needed to support weekly eBlast Design, produce, and reproduce worship bulletin weekly for traditional and Anchor services Prepare sanctuary for weekly worship by stocking bulletins, children’s bulletins, preparing audiotape, and usher attendance sheets Communicate births/deaths; coordinate rosebud orders for new babies, ensure newsletter and bulletin announcements Ensure posting podcasts from each Sunday service to the website on or before Tuesdays, and burn copies of podcasts as requested Update/maintain website and Facebook page Request funds as needed for newsletter, bulk mail, and postage meter accounts and complete Post Office reports pertaining to bulk mail Maintain Facility Scheduler by receiving and confirming requests for room reservations, AV equipment, and Church vehicles and communicating calendar changes to staff via email and/or at staff meetings Answer the telephone, route calls, take messages, etc. when Administrative Coordinator or Receptionist is unable Provide random clerical assistance for program/administrative staff, church circles, and committees including but not limited to designing, printing, and distributing brochures, pamphlets, and programs as needed Assist with maintenance of ACS database Assist with design marketing materials for various departments of the basis of availability (after priority work is completed). May include posters, brochures, flyers, etc. At the end of the workday, secure the office and main entrance door to Church, turn off all office machines and enable the voicemail system Attend regular staff meetings Supervisory Responsibilities: None Perform all other duties as assigned by supervisor.
