Non-Exempt, full-time (40 hours/week), hourly position Responsible to: Associate Minister: Missions & Service/Chapel Roswell General Description: Provide direct administrative assistance to the Associate Minister: Missions & Service /Chapel Roswell and Associate Minister: Adult Discipleship, as well as to related outreach/community ministries of RUMC. Function as point of contact and handle all administrative support for Chapel Roswell. Because of the nature of work associated with this position, all information received must be handled with the highest level of confidentiality. Job Responsibilities: Provide direct administrative assistance to the Associate Ministers: Missions/ CR & Adult Discipleship to include: managing email and correspondence; manage electronic files; handling/processing phone calls; coordinating calendars and scheduling appointments and visits and Chapel Roswell worship schedules and all church events; conferring with participants in planning related to missions, adult discipleship and Chapel Roswell; greeting appointments/drop-in visitors; meeting planning and event/class registrations for the Outreach & Community Teams as assigned; bulk mailings, Outreach and Community Team communications, and general clerical support. Any other duties as assigned. Specific Job Responsibilities: Missions & Service: Make appointments and calendar schedules for the Associate Minister:Missions & Service Outreach in a timely manner. Coordinate meetings and events with team staff, Global Missions Team and Associate Minister: Missions & Service Provide necessary administrative support. Support the Fountain of Love UMC by scheduling events inEventU as directed by the Associate Minister: Outreach. Consult and follow up with other ministry areas to facilitate communication with and through this ministry. Act as the Missions & Service web liaison to the Communications Department. Ensure all aspects of Missions & Service Team web material are input, accurate, and relevant. Attend and participate in full staff, Calendaring, and Team meetings as scheduled In the absence of the Associate Minister:Outreach, offer referrals for community resources and serve as the point of contact for the ministry partners of RUMC. Mange the mission team finances/accounts for individuals and trips.? Maintain regular communication with the Associate Pastor: Outreach and Global Mission Team Treasurer to keep them informed of the team financial status. Manage individual and team paperwork for short-term mission teams.? This includes release of liability, health forms, background checks, checking for completeness, and compliance with RUMC policies.? Provide copies of applications and emergency medical forms to each team leader, and Associate Minister of ? Ensure that all insurance forms and registration of passports are processed completely and on time. Work with the Associate Pastor: Outreach and Global Team treasurer to ensure the proper administration of fund disbursements, including the processing of purchase orders and check requests. Assist with the following processes as they relate to Missions & Service ensuring compliance with policies and procedures: Accounts payable, budget building, Foundation grant applications, and monthly credit card reconciliation. Annual evaluations, program participation, year-end reporting, and monitoring progress on goals and objectives. Review all Missions communications for consistency and accuracy and advise appropriately when updates, revisions, or submissions are needed. Facilities/equipment. Request facilities for ministry events. Coordinate reservation of the facilities using EventU, the major event schedule, master planning schedule, and knowledge of timing of major events for the next year. Responsible for ensuring the event is properly listed in Communicate and work with Building Manager to provide appropriate set-up material and request for ministry events. Specific Job Responsibilities: Discipleship Assist with coordinating ministry for Discipleship to include database management and facilities scheduling. Inform, advise, and direct volunteer ministry leaders for Discipleship, where appropriate, in program publicity, finance, scheduling, and facility usage. Interface with other ministry teams as directed. Assist the Associate Minister: Adult Discipleship by maintaining weekly Sunday School rosters, creating and distributing weekly Sunday School announcements, and reporting monthly Vital Sign statistics. Assist in coordination of meetings and events. Assist with the following processes as they relate to Discipleship, ensuring compliance with policies and procedures: Accounts payable, budget building, Foundation grant applications, and monthly credit card reconciliation. Annual evaluations, program participation, year-end reporting, and monitoring progress on goals and objectives. Review all Discipleship and Grow communications for consistency and accuracy and advise appropriately when updates, revisions, or submissions are needed. Specific Job Responsibilities: Chapel Roswell Coordinate Sunday morning logistics for Chapel Roswell according to the CR Sunday Morning Procedures Oversee Chapel Roswell Connections process, from first-time guests to connected members. Recruit, schedule, and equip Connections volunteers. Manage connection cards, baptism cards and communication cards, first-time guest auto-responder and set connection center Coordinate sacraments logistics: schedule communion servers, coordinate with RUMC altar guild for communion elements, coordinate communications and scheduling with families regarding baptisms. Provide data on visitors and coordinate scheduling of Membership Sunday and Learning Lunches. Ensure communication and congregational engagement: publish Chapel Roswell Newsletter monthly (The Chapel Roswell Connection) and share information with Communications department for social media and website. Oversee planning, coordination, and execution of Chapel Roswell involvement in community-building events. (i.e.Alive in Roswell, food truck lunches, music festivals) by scheduling bookings, procuring supplies, and recruiting & scheduling volunteers. Interface with other ministry teams as directed or as appropriate to schedule and book rooms with ServiceU. Attend Sunday Task Force meetings Ensure compliance with policies and procedures for accounts payable, budget building, foundation grant application and monthly credit card reconciliations. Provide annual evaluations, program participation, year-end reporting and monitoring progress on goals and objectives. Requirements: Outgoing, engaging, and personable first point of contact for the Missions. &Services office High degree of attention to detail. Excellent organizational skills without requiring close supervision. Ability to work collaboratively with staff and volunteers. Exercise creativity and use sound judgment. High degree of expertise and proficiency with computer and digital applications. Manage confidential information with integrity
