Administrative Assistant Hampton UMC


The Administrative Assistant for Hampton United Methodist Church is a central point of contact for the congregation and works with staff to facilitate ministry, communication, and care to church members. The primary duties of the position are 1) providing connection to members through various methods of communications throughout the week, 2) coordinating information for the care of church members, leaders, and the facility, and 3) providing support to the clergy and lay leaders in organizing worship, meetings, maintaining calendars, and providing follow-up for issues central to the life of the church. This position requires strong communication and technical skills and the use of various communication platforms.

Responsibilities and Duties
1. Communications

  • Coordinating the publication of the weekly E-newsletter. This includes proactively reaching out to leaders to secure news and making sure all prayer requests, information, and events central to the life of HUMC are represented in the newsletter.
  • Acting as the primary contact for prayer requests, illnesses, deaths, and crises. Making sure that requests are disseminated to the pastor, congregation, and any necessary individuals or committees. Ensuring that the pastor has all needed information on expected actions and contact information.
  • Sending out emails to the church family concerning prayer requests, announcements, meeting times, etc.
  • Coordinating worship and announcement information with pastor and all other involved in worship. The Administrative Assistant will be the primary point of contact on coordinating the various elements of the worship service by creating the weekly worship template and following up with individuals concerning the order of service so that all information is ready by Wednesday each week and the flow of the service is clear.
  • Faithlife social platform updates- adding members, updating contacts for existing members, adding news, and information as needed.
  • Periodically updating news and information on the church website.
  • Maintaining the master calendar for the church on Faithlife, the pastor’s calendar, and other paper calendars or bulletin boards as needed.
2. Congregational Care
  • This position is a first-line coordinator for congregational care. Whether by email, phone, word of mouth, or in-person contact, the Administrative Assistant will collect information about the issue and people involved and inform church members and the pastor of the care needed. The Assistant will also work with the pastor to ensure that necessary steps are taken to reach out and provide pastoral care. Confidentiality is of the highest importance in all areas of congregational care.
  • Ensure all visitors and new members are tracked and provide connectional information and periodic reports to committees and the pastor.
  • Assist staff and ministry chairs with clerical and administrative support.
3. Office and Building Management
  • Perform general office work, data processing and filing.
  • Make sure office and worship supplies are stocked and available for use. Touch base with staff and ministry heads to order supplies as needed (i.e. kitchen cleaning, preschool).
  • Communicate cleaning needs to janitor and maintenance to Trustee Committee.
  • Manage room reservations in the building and ensure there is no overlap or conflict with meetings and usage.
  • Keep office hours for the building to be open (four days a week from 9 a.m. to 1 p.m.) and greet visitors, take phone calls, and answer emails.
  • Work with the financial secretary to ensure invoices are filed and taken care of.
  • Keep the necessary records for the church including worship attendance, meeting attendance, minutes, and other pertinent files.
  • Distribution of all mail and correspondence.
4. Ministry Assistant
  • Create and disseminate Weekly Worship Document.
  • Create and print the worship bulletin for Sunday and special services.
  • Create worship slides using Proclaim in Faithlife.
  • Communicate with the Pastor to maintain his or her individual calendar.
  • Assist the pastor in coordinating and tracking pastoral care of members in need.
  • Assist in the preparation of charge conference and annual reports.
  • Perform other duties as required by the Pastor.
Job Requirements
  • A practicing Christian
  • Extremely organized
  • Ability to take initiative and drive weekly church processes
  • The ability to apply sensitivity and discretion and maintain confidentiality
  • Strong technical skills including Word, PowerPoint, Excel, Publisher and Google Docs
  • Familiarity with online communication tools such as MailChimp or Constant Contact
  • Ability to learn Servant Keeper, the church’s giving and membership platform
  • Ability to work with the pastor to manage workflow and calendars
  • Familiarity with social platforms and web updates preferred

Terms of Employment
This position works Monday-Thursday from 9 a.m. to 1 p.m. The work will be conducted primarily in the church office in Hampton.
Pay and Benefits
The position pays $18/hour and includes three weeks of paid time off.
