Office Manager/Bookkeeper

Join the team at Clarkesville First UMC! We are seeking an full-time Office Manager & Bookkeeper who can provide the following: general administrative, financial, and clerical duties required to operate the church as directed by the Pastor and Church Council; also, support for the church staff, groups, and members of the congregation in their ministries.
Office Manager Responsibilities
- Offers complete support and trust to entire church staff promoting an environment of “oneness” – all working together towards the same ultimate goal of life transformation through a personal relationship with Jesus Christ.
- Assists other staff and groups in the church as needed to accomplish their ministry goals.
- Coordinates the volunteer office staff and serves as receptionist in assistance to, or absence of, the front desk volunteer. Ensures that the office is staffed during all set office hours.
- Creates and distributes churchwide publications in both print and digital forms. This includes weekly church bulletins, mid-week updates, monthly newsletters, and bereavement notices/funeral bulletins.
- Maintains churchwide databases, including membership rolls, email addresses, and birthday/anniversaries.
- Maintains the church Prayer List with weekly printed editions for the Intercessory Prayer Ministry team.
- Prepares for Sunday worship including printing of materials, preparation of visitor gifts, overseeing the flower ministry, and preparing membership & baptism packets.
- Maintains the church calendar, which includes scheduling church, community and individual events and emails meeting announcements as needed.
- Ensures an orderly office environment, including managing office equipment & supplies, software and hardware licenses, and software updates & security compliance.
- Completes any reporting for the local and regional administrative bodies.
Bookkeeper Responsibilities
- Manages the church donations, including adding yearly pledges to Realm, supervising the counting of the Sunday collections, depositing the funds, and updating giving records weekly in Realm.
- Manages the financial aspects of the Wednesday night dinner ministry, including collecting and depositing cash payments and reimbursing volunteers and vendors.
- Codes all bank and credit card transactions in Realm to the appropriate account for both the church and preschool. Retains all receipts in an organized system.
- Pays all invoices and reoccurring obligations and maintains the corresponding paperwork.
- Provides payroll provider with all new-employee paperwork. Manages the submission of payroll monthly and tax forms (W2s and 1099s) yearly.
- Deposits any paper checks for the preschool and prepares payment statements as requested.
- Generates any financial related paperwork, including giving statements and letters of acknowledgement for memorials and honorariums.
- Assists with the year-end budget process and tax accounting as requested by the Finance Team and CPA.
Requirements
- Show faithful Christian discipleship through patience, love, and respect for all people.
- Honor confidentiality in all matters.
- Possess communication and organizational skills needed to effectively run the church office.
- Have excellent writing skills, including accurate grammar, punctuation, and spelling.
- Demonstrate working knowledge of Excel, Word, Publisher, Mailchimp, and Canva.
- Basic understanding of bookkeeping. Experience with QuickBooks or Realm is a plus.
- Satisfy requirements of Safe Sanctuaries.
Supervision
- This position reports to the Pastor and receives guidance from the Lay Leader and Staff-Parish Relations.
Hours per Week: 35 - 40 hours
Monday thru Friday
Set office hours are TBD – willing to work with your schedule!
